We understand that travel plans can change, and at Trekoholics we strive to offer flexible options while maintaining fair policies that ensure smooth operations for all trekkers. Please review the following cancellation, refund, and booking terms carefully before confirming your trek.
1. How to Cancel Your Trek
- All cancellations must be requested via email to info@trekoholic.in using your registered email ID.
- Include your booking ID, trek name, and scheduled start date in the cancellation request.
2. Cancellation Charges & Refund Options
a) Cancellations made 25+ days before trek start date
Options:
- 5% of trek fee deducted, balance refunded in cash, OR
- 100% trek voucher valid for 12 months (any trek, any date), OR
- Transfer your booking to another participant (any trek, any date).
b) Cancellations made 24–15 days before trek start date
Options:
- 30% deduction, balance refunded in cash, OR
- 100% trek voucher valid for the same trek for 1 year, OR
- 85% voucher valid for any trek for 1 year, OR
- Transfer your booking to a friend.
c) Cancellations made 14–10 days before trek start date
Options:
- 50% deduction, balance refunded in cash, OR
- 80% voucher valid for the same trek for 1 year, OR
- 70% voucher valid for any trek for 1 year, OR
- Option to rejoin the same trek in the same season with another batch, OR
- Transfer booking to another participant.
d) Cancellations made less than 9 days before trek start date
Options:
- No cash refund, OR
- 20% voucher valid for the same trek for 1 year, OR
- 10% voucher valid for any trek for 1 year, OR
- Transfer booking to a friend (same trek, same batch only).
3. Rescheduling Policy
- First reschedule: Free of charge (subject to availability).
- Second reschedule: 20% of trek fee will be charged.
- If the new trek costs more, the difference must be paid within 24 hours.
- If the new trek costs less, the balance will be issued as a voucher valid for 1 year.
- Once rescheduled, further cancellations are not eligible for refund/voucher.
4. Force Majeure & Unforeseen Events
If a trek is cancelled or suspended due to weather, natural calamities, political unrest, government orders, or other conditions beyond Trekoholics' control:
- A voucher equal to the full trek fee (minus insurance charges) will be issued, valid for 1 year.
- An alternate trek on the same date may be offered (subject to availability).
- Participants who purchased Trekoholics Shield (add-on protection) will be eligible for a full trek fee refund.
5. Trek Again Policy
If you are forced to return mid-trek due to altitude sickness, health concerns, or safety reasons (beyond your control):
- You may repeat the same trek at no additional cost in the future (subject to batch availability).
- This does not apply if you are asked to leave due to misconduct, smoking/drinking, or failure to meet fitness/safety requirements.
6. Key Terms & Conditions
- Batch changes are subject to seat availability.
- When transferring your trek to a friend, they must meet the eligibility criteria.
- If the rescheduled trek costs more, the balance must be paid within 24 hours.
- Trekoholics reserves the right to revise policies without prior notice.
7. Booking & Payment Policy
- Please verify all trek details and personal documentation at the time of booking.
- Payments must be completed as per schedule to confirm a seat.
- Cash refunds apply only for amounts paid in cash. Payments made via voucher, discount codes, or other non-cash methods are non-refundable in cash.
- Refunds, where applicable, will be processed within 15–30 working days.
Voucher Rules:
- Non-transferable and cannot be combined with discounts/offers.
- Valid only for treks booked directly with Trekoholics in India.
- Must be used with your registered phone number/email ID.
- All standard booking rules apply.
8. Itinerary Changes
Trekoholics may modify, shorten, or cancel itineraries due to safety, weather, transportation delays, or other operational reasons.
If cancelled before departure:
- An alternate trek/date will be offered, OR
- A voucher valid for 12 months will be provided, OR
- Transfer to another trek with applicable cost adjustments.
If abandoned after commencement: No refund/voucher will be issued.
9. Backpack Offloading Policy
- Cancel before trek start: Full refund minus 4% transaction fee.
- Cancel midway: No refund.
- If trekker exits midway: No refund for offloading charges.
10. Transport Policy
- Cancel transport booking 72+ hours before trek start: 96% refund.
- Cancel less than 72 hours before trek start: No refund.
- If trek is cancelled before pickup: Full transport refund.
- If you miss the vehicle departure: No refund; alternate transport is at your own expense.
- Evacuation vehicle costs (if required) must be borne by the trekker.
11. Refund Timeline
Refunds (if applicable) will be processed within 5–6 working days from approval.
